Beacon Medical Group Missed Appointment Policy

We care about you and your healthcare needs, and those of other patients. Missing your appointment without canceling can keep other patients from being able to see their provider when needed. For these reasons, it is important to keep your appointment or follow our guidelines when you need to cancel or reschedule.

When you have an upcoming appointment, we send several reminders including:

  • text,
  • e-mail,
  • phone call, and
  • portal messages.

What to do if you cannot keep your appointment

If you must cancel or change your appointment, call the office your appointment is scheduled with as soon as possible, at least 24 hours before your appointment time. Reach us in one of these ways:

  • via the appointment reminder text message you received,
  • send us a portal message, or
  • call us by phone.

Arriving for your appointment

Always arrive at least 15 minutes before your appointment time, unless you were told differently by your provider or care team.

If you arrive late for your appointment, we will make every effort to see you. We may need to see you at a later time or on a different day to make sure other patients are seen on time.

Our policy for missed appointments and cancellations

  • A missed appointment is: An appointment you miss without giving notice.
  • A late cancellation is: An appointment you cancel less than 24 hours before the appointment time (if the reason is not related to an insurance issue).

For returning patients: After missing or late-canceling 3 appointments in a 12-month period, you may not be allowed to make another appointment and may need to find a new provider.

For new patients: After missing or late-canceling 2 appointments in a 12-month period, we may not be able to give you another appointment.

If you can no longer see a provider because of a late cancellation or missed appointment, you will get a letter from the related Beacon office. Returning patients will have 30 days to find another provider.

Late Policy

  • If a patient arrives less than 10 minutes after their scheduled appointment time, the patient may still be seen. However, the visit will be cut short. Depending on the situation, the patient may be asked to reschedule for a different day.
  • If a patient arrives 10 or more minutes after their scheduled appointment time, the patient may not be seen and may have to reschedule the visit.
  • If a patient is repeatedly arriving late, they will be reminded of our office’s late policy and may not be able to be accommodated in the future.

We appreciate that sometimes there are understandable reasons for arriving late and exceptions may apply.
